Taxes

Here you set in which countries you charge tax and at what rate. For most shops, the standard rate per country is enough.

At a glance

  • Per country: the standard rate and whether tax is charged.
  • Optional: different rates for certain product types.
  • Different rates and exceptions are opened only when you need them.
1

Overview

You find the page under Settings, Finances, Taxes. Pixalo calculates the tax of every order from these settings. Invoices, credit notes and emails show exactly this result.

Nothing changes on its own

As long as you only use the standard rate, your shop calculates exactly as before. Different rates only apply once you add them yourself. Existing orders and invoices stay unchanged.

Price entry and small business rule

At the top of the page you set two basics:

  • Price entry: incl. tax (standard in the EU and UK) or excl. tax (standard in the US).
  • Small business rule: orders and invoices are created without tax, with the required note on the invoice. Applies to new orders only.

Switching price entry

Your saved prices stay the same. They are just read differently. If you switch to excl. tax, families pay more. Existing orders and invoices stay unchanged.

Sales country and tax

Your shop sells to one country. The "Sales country" card shows the country, currency, price display and tax rate; you change the rate right there. With "Change country" you choose another country: Pixalo shows beforehand what changes and, if you want, loads the matching settings. Add an exception (e.g. 0% for exports) in the same card.

SettingMeaning
Charge taxThe normal case. The rate of your sales country applies.
No taxNo tax is charged for this country. A reason is required.
0 %Tax at 0 %, for example for exports. A reason is required.

Recommendation from an official source

If your rate differs from the official rate, Pixalo shows a recommendation with a link to the source. You apply it with one click. Pixalo never changes a rate on its own.

Selling abroad

Below your sales country you turn on "Also sell to other countries", for example for grandparents abroad. Tax follows your place of business, not automatically the customer’s country. Your place of business is your sales country; if your business is based elsewhere, confirm it right at the sales country. Pixalo sets the usual rule per country:

  • Customer in another EU country: your own rate (e.g. 19% from Germany), as long as your EU sales to private customers stay below €10,000 a year.
  • OSS: if you are above that or registered for OSS, turn on OSS. Then the customer country rate applies.
  • Customer outside the EU (Switzerland, UK, USA): 0%. The reason is printed on the invoice automatically.
  • Small business rule: no tax, abroad too. You can change each rule per country; if it differs from the recommendation, Pixalo shows it.

Check special cases

If your business is outside the EU and you sell digital products to private customers in the EU, EU VAT may apply there. Pixalo shows a note for this. The rules do not replace tax advice.

Different rates by category

In some countries, certain products have different rates. For this, every product has a tax category:

  • Photo prints, digital photos, wall art, photo gifts
  • Printed matter such as cards and calendars, photo books and albums
  • Tax exempt for products that carry no tax
  • Automatic: Pixalo picks the category from the product type

Different rates stay hidden as long as you do not need them. Below the sales country card, open them with “Add a different rate”. Pixalo recognises digital images and prints by their product type. Only if you add a rate for a physical product type (gift, wall art, printed matter, photo book) does the Tax category field appear on physical products. Without an entry, the standard rate applies.

Reduced rates with conditions

Some reduced rates only apply under conditions, for example 13.5 % on photographs in Ireland. Pixalo only adds them after you confirm the conditions. Check this with your tax advisor.

0% only with a reason

In the EU, a 0% rate needs a reason, for example "exempt under section 4 no. 14 UStG". Pixalo prints it on the invoice. Digital photos are taxed at 19% in Germany. Use 0% only for a genuine exemption. If in doubt, ask your tax adviser.

Regional rates (USA)

In the USA, sales tax depends on the state and often on the county, city or ZIP code. Once the USA is active, the link "Add regional tax rates" appears under the countries.

  • State rate: applies across the whole state. With it, Pixalo charges tax there. States without their own rate follow the country setting.
  • Local rate: a named county, city or special district, limited by ZIP codes (98101, 981*, 98000..98199) or cities. It is added to the state rate and shown as its own line on the invoice.
  • Shipping: taxable or not per state. Local rates follow that setting.
  • Checkout: Pixalo uses the state, ZIP code and city of the delivery address, or the school address for school delivery. Until then, the tax in the cart is an estimate.

CSV like WooCommerce

Rates can be exported and imported as CSV (WooCommerce columns). Pixalo checks the whole file first. If one row has an error, nothing is imported.

Tax report

The tax report sums up the invoices and credit notes of a period by country and tax rate.

  • It is based on the documents issued. The date is the invoice or credit note date.
  • Net, tax and credit notes per rate; small business invoices in their own row.
  • Download it as CSV for your tax adviser. The report does not replace a tax return.

Packages

You do not need to set anything for packages. If a package contains items with different rates, Pixalo splits the package price automatically by the single prices: the package discount applies equally to every item, then each part gets its own rate.

Example: digital image €15 (0 %) and mug €15 (19 %) as a package for €20. Each item gets €10; tax only applies to the mug’s €10.

Notices on the page

Notices appear at the top of the page when something is missing:

  • For an active country, it is not set whether tax is charged.
  • Two rates apply to the same scope.

Frequently asked questions

Does a changed rate apply right away?

Yes, for new orders. Orders already placed keep their rate. Invoices and credit notes do not change either.

Do I need to do anything if I only sell in one country?

No. The standard rate per country is enough. Your shop calculates as before.

Which rate is right for me?

That depends on your country and your business. The recommendations show the official rates with their source. You make the decision, with your tax advisor if in doubt.
