Invoices
For every paid order Pixalo writes the invoice itself and sends it to the family. You set the header data, number range and footer once. After that everything runs by itself.
At a glance
- Invoices are created automatically as soon as an order is paid.
- The family receives the invoice as a PDF by email.
- Header data comes from your company settings, the language from the shop language.
You never create an invoice by hand. Pixalo does it for every order:
- 1The order is paid: right away with PayPal and Stripe, for bank transfer and cash when you mark it as completed.
- 2Pixalo assigns the next invoice number and creates the PDF.
- The family receives the invoice by email. It is also in their customer account.
Corrections
Under Orders › Invoices you find all invoices with number, customer, order, date, amount and status.
- 1Search and status: search by invoice number or customer and filter by status.
- 2Status: since invoices are only created after payment, this almost always says Paid.
- 3Details and PDF: open the invoice or download the PDF.
For your accountant, download the PDFs one by one. Invoices stay even if you delete the order: the order then moves to the archive.
The detail page shows customer, items, total and the invoice data.
- 1PDF: the invoice exactly as the family received it.
- 2Invoice items: each item with quantity, unit price and VAT rate.
- 3Invoice details: invoice date, due date, sent and paid date. A button below leads to the order.
Under Settings › Invoice you see a preview at the top. This is what the header of every invoice looks like.
- 1Edit Company Settings: name, address, tax number and VAT ID are maintained there.
- 2Invoice Language: always the default language of your shop.
- The family's country appears on the invoice in the invoice language, for example Germany or Netherlands.
- Tax information and your bank details appear at the bottom.
- VAT rates and the small business rule are set under Settings › Taxes.
Below that you decide how invoices and credit notes are numbered and what appears at the end.
- 1Invoice prefix: for example INV. The preview shows the next number, such as INV-2026-0001.
- 2Unlock Format: the number format made of placeholders. It is locked so nothing breaks.
- 3Credit Note Title: Invoice Correction (default) or Credit Note. Prefix and format for credit notes follow below.
- 4Default Due Days: the invoice is due this many days after the invoice date.
- 5Footer text: a text at the end of every invoice, such as a thank-you or your opening hours.
Careful with the number format
Upload the logo as PNG or JPG up to 5 MB. The bank details at the bottom appear on every invoice and, for bank transfer, in the order confirmation too.
