I agree that (please tick as appropriate, each point can be given separately):
- my child is photographed on photo day (individual portraits).
- my child appears in the class or group photo. Parents and carers of the other pupils in the class can also order this photo.
- my child's photos are made available in a password-protected online gallery for viewing and ordering. Access only with a personal access code. No names are shown next to the photos.
- the photos may additionally be used for the school's internal records or yearbook (optional).
Privacy notice

- Taking school photographs and making them available for ordering by parents and carers.
- Lawful basis:
- Your consent (Article 6(1)(a) UK GDPR).
- Recipients:
- Processors for the gallery and order handling and a photo lab for prints, each under a data processing agreement (Article 28 UK GDPR). No disclosure to other third parties.
- Retention:
- Until the end of the order period. All photographs are then deleted within [Number of weeks] weeks. Order records are kept only as long as tax and accounting rules require.
- Your rights:
- Access, rectification, erasure, restriction, data portability (Articles 15 to 20 UK GDPR) and the right to complain to the Information Commissioner's Office (ico.org.uk).
Withdrawing consent
You can withdraw this consent at any time with effect for the future, informally by email to the controller named above. Processing carried out before the withdrawal remains lawful. After withdrawal your child's photographs are deleted unless a legal retention obligation applies.
Consent is voluntary. If it is not given, there are no disadvantages. Your child will then not be photographed and will not appear in the class photo.
A parent or carer signs for the pupil. Where the pupil is old enough to understand, please ask for their agreement as well and let them sign. Where parental responsibility is shared, the signing person confirms acting in agreement with the other parent.
