Photo day checklist for school photographers
From preparation to delivery.

2 weeks before: preparation
- Date confirmed with the school, contact person noted
- Rooms checked: light, space, power outlets
- Project created in the Pixalo dashboard
- Class and student lists imported (CSV or photo of the list)
- QR photo cards with access codes printed
- Schedule created: classes, groups, time slots
- Consent forms sent to the school and returns checked
1 day before: equipment
- Camera, lenses, flash, batteries checked and charged
- Backup camera and spare batteries packed
- Memory cards formatted, at least two
- Backdrop, stands, stool packed
- Printed QR photo cards sorted by class
- Smartphone or tablet charged, Pixalo app installed
On photo day: setup
- Arrive 30 to 60 minutes early
- Set up and test the lighting
- Test shots: check exposure and white balance
- Log in to the Pixalo app, check project and classes
- Set up a waiting area for the children
- List of children without consent within reach
Tip: Missing a class list? Photograph a handwritten list with the app. Recognition imports the children in seconds.
During photo day: shooting
- Select the class in the app
- Call the child, scan the QR photo card or select the child, take the photo, mark as done
- Repeat for every child in the class
- Class photo after the individual portraits
- Do not photograph children without consent
- Plan breaks between classes
After photo day: upload
- Back up all photos to a second drive
- Select and edit, keep the shooting order
- Upload photos to the project, check the matching to children
- Check products and prices in the shop
Gallery and delivery
- Activate the gallery, set the order deadline
- School informed: gallery is live
- Reminder one week before the deadline
- Orders handed to the lab
Follow-up
- Deadline passed, gallery closed
- Photos deleted after the deletion period, backups included
- Deletion documented
- School feedback noted, follow-up date proposed
